Adjutant
The Adjutant is appointed by the District Commander to serve during the Commander’s term of office and is the administrative head of the district. The Adjutant is totally responsible to the District Commander, and the two of them must work in concert to maintain an understandable and viable program of activities and effort throughout the district. The Adjutant is the Commander’s strong right arm during time in office.
Responsibilities
- Keep the record of the actions of the district during the membership year as to minutes of the Executive Committee, of which the Adjutant is secretary, and of the minutes of the annual District Convention.
- Publish the district bulletins, maintaining a correct mailing list of Post Officers and handling the correspondence of the district under the supervision and authority of the District Commander.
- Supply copies of Convention and Executive Committee meeting minutes to the District Historian so they have copies of all official acts of the District for the District record and history. All minutes of the Adjutant are official district records.
- Mail notice of Exec. Board meeting ten (10) days prior.
- Publish a District committee appointments and Post Commanders and Adjutants list to include Names, Addresses, Phone #, Meeting Date, Time & Location, Dues, and Post Home & Address Etc.
- Provide an article for the District Newsletter each month no later than the 26th of each calendar month.
Elections, Conferences and Conventions
- Upon receiving an endorsement for any of the First District officers, the Adjutant shall furnish a copy of the job description and the District Constitution and by By-Laws to the endorsed candidates.
- District Adjutant shall provide cap order forms at the District Convention for the newly elected officers of the First District.
- Upon their election, the Adjutant shall furnish a copy of the responsibilities as a delegate or alternate to the National Convention.
- Adjutant shall keep assigned attendance roster for all District and Department meetings and rallies as a record to guide in selection of National Convention Delegates/Alternates nominees.
- Send Resolutions to the Department office following the District Convention for the Department Convention within the required time.
- Put Convention Call 30 days prior in April’s newsletter.
- District Commander and Adjutant will meet with the Post that is going to host the First District Convention. They will help set up the convention programs.
- All District Officers will receive from the District Adjutant, a current copy of the First District Constitution and By-Laws and First District Officer’s Manual and become knowledgeable of the material.
